Rideau Talking Book Pool
Terms of Membership (as of February 2005)
- PURPOSE
To share resources in a cost effective manner by cooperative
acquisition of materials which are available to all member
libraries.
- MEMBERSHIP
- The membership year will be January 1 to December 31.
- Membership is open to any public library which is
willing to contribute an annual membership fee and abide by
the Terms of Membership.
- Members may withdraw from the Pool at any time. Written
notice of intention to withdraw must be sent to the
Secretary of the Pool.
- GOVERNANCE
An Executive comprised of a Chairperson, Vice-Chairperson and
Secretary will be elected at the Annual General Meeting in the
spring. Ottawa Public Library will be invited to send a
representative to the Annual General Meeting.
- DISSOLUTION
In the event that the Rideau Talking Book Pool dissolves, all
assets (talking books and financial balances) would be
distributed equally to the members of the pool who had
transactions in the previous year.
- SELECTION, ACQUISITIONS AND WEEDING
The Talking Book Pool Executive will enter into a contract with
the Ottawa Public Library according to the Terms of Membership,
under which Ottawa Public Library will provide selection,
acquisitions and weeding of Pool materials.
- LOSS OF MATERIAL
- Each member is responsible for lost/stolen or misplaced
items.
- You must let the Ottawa Public Library know if you do
not receive a shipment within 2 (two) weeks. If the shipment
has been sent out by OPL, SOLS should be notified
immediately that a shipment is missing.
- Each member library is responsible for keeping track of
their patron’s names and what titles they have borrowed, and
to make sure that the items are returned on time.
- If OPL suspects a library is not keeping proper records
for the pool, OPL will notify the Pool Executive who will
contact the library directly to discuss the Terms of
Membership of the pool.
- ACCESS TO POOL MATERIALS
Ottawa Public Library will provide each member library with one
copy of its Talking Book Catalogue and any Supplements, to be
paid for from Pool fees. Additional copies will be purchased
from Ottawa Public Library by the member library.
- FEES
- SOLS charges $25.00 (+ GST) Administration Fee per
Board, per year.
- Annual fees increase by $100. 00 for every 50 books (or
portion thereof) once users are above 150 borrows. There is
no longer a maximum contribution. GST is applicable on all
fees.
- Members will each contribute according to the previous
year’s use of talking books, as follows:

- SOLS ROLE
The Southern Ontario Library Service will provide organizational
support as follows:
- invoice member
- transfer funds as instructed by the Pool Executive
- maintain pool files
- deliver pool items to libraries on courier service
- reimburse costs of mailing pool items to libraries not
on courier service
